Responsible for assisting with all aspects of the front reception area and provide for the needs of both non-facility and LKQ personnel. Responsible to assist with mail room operations to assure timely and accurate distribution of incoming and outgoing mail, packages, and supplies, as well as completing basic office maintenance and supply tasks.

Essential Job Duties

  • Mail and Package Services (UPS, FedEx, etc.) – Assist with sorting, meter & preparing outgoing mail and overnight packages.
  • Receive and distribute mail, packages, and supplies.
  • Maintain shipping supply inventory of boxes, envelopes, packing tape, bubble wrap, etc., reusing materials whenever possible.
  • Assist with maintaining office and break room supply inventory
  • Maintain all copy and print stations to be fully stocked with supplies, daily filling of machine paper, and overall orderliness of area.
  • Provide clerical support to department heads (large copy jobs, mail, etc.) as needed/approved by Facilities Manager.
  • Assist with minor ad hoc janitorial duties immediately as needed.
  • Assist with set up and tear down of catered lunches & meetings.
  • Assist with all recyclable materials.
  • Maintain parking lot and sidewalk cleanliness and report any maintenance issues to Coordinator.
  • Assist in maintaining orderliness and cleanliness of the entire mailroom and storage area.
  • Report to Coordinator any unaddressed facility needs, including spills, marks on doors or walls, and burned-out light bulbs.
  • Assume other duties as assigned
  • Greets incoming visitors, screens for entry, ensure proper registration and sign-out, and contacts appropriate personnel for visitors.
  • Operates telephone system console to answer calls, screen calls (research, inform, assist, correct, redirect) and transfers appropriately.
  • Reports suspected or confirmed telephone system data errors, connection problems, and outages to VOIP department.
  • Assists non-facility LKQ personnel in scheduling meeting rooms, provides meeting/function information as needed, assists with small printing needs of executives in conferences, and assists with obtaining taxi service as needed.
  • Provides varied light-to-moderate administrative assistance to include, but not limited to typing; Word format correction; file preparation; mail handling; spreadsheet preparation, data entry and manipulation; designing temporary signage; composing materials; researching; binding; collating; etc.
  • Assists with organizing and executing company functions, luncheons, corporate meetings, etc.

Supervisory Responsibilities

  • Not responsible for supervising employees.

Education & Experience

  • High School Diploma/GED.
  • 0+ years of experience required.

Preferred Requirements 

  • No Preferred Education Required.
  • Prior multiline telephone experience, general office and mailroom experience.

Knowledge/Skills/Abilities

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Basic computer skills.
  • Basic messages communicated orally. May write brief messages and keep simple records.
  • Problems encountered are simple, repetitive, and generally solved by clear directions and procedures.
  • Follows standard procedures with no decision-making involved.
  • Uses guidance/guidelines provided by supervisor/manager.
  • Assignments/priorities provided by supervisor/manager.
  • No additional competencies required.

Essential Physical Demands/Work Environment  

  • While performing the duties of this job, the employee is occasionally required to stand, walk, push, pull, squat, bend, reach, climb stairs, balance, stoop, kneel, crouch, or sit for extended periods of time.
  • The employee may be exposed to hazardous situations, conditions, and equipment. Must be able to work in cramped spaces that may require getting into awkward positions. May regularly wear personal protective equipment (PPE). May be exposed to extreme temperatures and high noise levels.
  • Travel may be required periodically, including overnight stays (contingent on position requirements).
  • Must be able to lift up to 50 pounds.
